Invoicing as a fitness coaching studio

Auto-Pay Memberships Studio Seats

Recurring membership invoice set to auto-pay in Fee-Lion

Running a coaching studio means selling sessions in bulk and memberships on repeat, all while your trainers keep the floor moving. Fee-Lion lets you package units, put clients on auto-pay, and bill every session without anyone hovering over a front desk. Here’s how to set it up so billing runs itself.

Sell session packages with units

A “10-session pack” or “personal training block” is a perfect fit for a unit line item: quantity times rate. Build it once as an estimate, send it, and let the client approve and pay without ever creating a login.

  1. From the left sidebar, open Estimates and start a new one for the client.
  2. Add a line item as a unit — for example, “10 PT Sessions” at qty 10 and your per-session rate.
  3. Mix in fees for one-off charges (an intake assessment, a nutrition plan) and add a discount if you’re running a first-timer promo.
  4. Set tax and, if you want money up front, a deposit %. Review the total and send it.

The client opens a magic-link portal, approves with one tap, and you turn it into an invoice in a single click. When they pay by card, the money lands in your own Stripe account.

Tip: Set your studio’s defaults once under Settings → Preferences — your standard tax rate, payment terms, and deposit percentage — so every new package estimate starts pre-filled instead of from scratch.

Put memberships on auto-pay

Monthly memberships are where a recurring invoice earns its keep. Set it up once and Fee-Lion bills the same amount on schedule, every month, with no chasing.

  1. From the sidebar, open Invoices and create a recurring invoice for the member.
  2. Add the membership line item, choose the monthly cadence, and pick a start date.
  3. Invite the member to enroll in auto-pay from their portal, so their card is charged automatically each cycle.

Once a member is enrolled, their dues collect themselves and you simply watch the payments roll in. No more “did you remember to send my invoice?” texts on the first of the month.

Keep your trainers’ sessions billed

On the Studio plan you can give each trainer a seat, so the work they log is tied back to the right client and the right invoice — no shared spreadsheet, no front-desk bottleneck.

  • Use Time Tracking (or the timer) when a trainer runs a session, then bill that tracked time straight onto an invoice.
  • Spin up a Project for ongoing clients — think a 12-week transformation program — with checklists for milestones and a discussion thread the client can see.
  • Attribute gear or studio expenses to a project so you can read the real margin on each program in Reports.

Watch the numbers, not the door

Your Reports turn all this billing into a picture of the business. Check the ops dashboard for the week at a glance, drill into revenue by client to see who’s worth more sessions, and keep an eye on invoice aging so a lapsed card never becomes a lost month. Need to hand numbers to your accountant? Export to CSV or PDF.

And when you’re moving fast between clients, the ⌘K command palette gets you there — type “create invoice for Acme” or “pay INV-204” and skip the clicking entirely.
