The command palette lets you do a lot by typing a sentence. Two of its most useful tricks are converting estimates into invoices and pricing new documents from your price book. And if you run something by mistake, there’s an Undo button.
When you’d use this
Use it when you know what you want and don’t want to click through screens: billing a deposit after a call, sending a final invoice, or quoting a standard job in seconds.
How to convert an estimate
- Press ⌘K (Ctrl+K on Windows) to open the palette.
- Type what you want, for example “bill the deposit on EST-420”, “invoice the rest of EST-420”, “convert EST-420 to a deposit invoice” or “final invoice for EST-420”.
- Or just type “convert EST-420”. The palette proposes the natural next step, the outstanding deposit first, then the remainder, and shows the other options as “Did you mean” chips. Press Tab to accept one.
- Check the preview and press Enter to run it, or Esc to close.
Conversions that aren’t possible are refused up front, for example when an estimate has nothing left to bill.
How to price from your price book
Type something like “invoice Hooli a water heater install” or “estimate Ridgeway 2 water heater installs”. Items without a price are priced from your price book (Settings → Price Book), and the preview says “Priced from your price book” with the item. Close alternatives appear as did-you-mean chips. If you type a price yourself, your price always wins.
How undo works
After the palette runs a change, such as creating an invoice or estimate, recording a payment, converting, logging time, or starting or stopping the timer, an Undo button appears for 30 seconds. Actions that send an email or bill time can’t be undone, and the preview flags them before you run them. Anything that moves money asks you to confirm first.
Tip: Keep your price book names short and familiar. The closer they are to how you talk, the better the palette matches them.
FAQ
What if I don’t know the next step for an estimate?
Type “convert” and the estimate number. The palette suggests the next step and shows alternatives.
I missed the Undo button. Now what?
Fix or delete the record by hand as you normally would.
