How to create an invoice

Billing Invoices

An invoice

An invoice is your request to get paid. In Fee-Lion you build it from line items, attach it to a client, and send it to their portal where they can pay online.

When you’d use this

Start from a blank invoice when there was no estimate first: a quick fix for an existing client, a monthly bill for ongoing work, or a job you scoped verbally. If the work was quoted, do not rebuild it. Convert the approved estimate instead and the line items, client, and deposit carry over untouched, which is both faster and safer than retyping numbers.

Before your first invoice, spend a minute in Settings → Preferences setting your default payment terms, tax rate, and the greeting text that goes in the email. Every new invoice starts with those filled in, so day-to-day invoicing becomes “pick the client, add the lines, send.”

Create the invoice

  1. Go to Invoices and choose New.
  2. Pick the client this invoice is for.
  3. Add line items. Tasks bill as hours × rate, units and fees bill as quantity × rate, and you can add discounts or surcharges to adjust the total.
  4. Apply tax if it applies. Fee-Lion rolls everything into the running totals as you go.
  5. Save the invoice.

Send it for payment

When the invoice is ready, send it to the client. It lands in their portal, where they can review the line items and pay online.

Tip: Already won the work on an estimate? You can skip the blank invoice and create one by converting an approved estimate instead.

FAQ

Can I edit an invoice after sending it?

Once submitted, the invoice is in the client’s hands and locked. If something is wrong, void it and issue a corrected one so the record stays clean.

How do I bill tracked hours?

Pull tracked time onto the invoice as task lines. Hours and rates come across from your time entries, and the entries are marked as billed so they are not invoiced twice.

Can I schedule an invoice to go out later?

Yes. A slated invoice is one you have scheduled; it is sent automatically on the date you set. For work billed on a repeating cycle, use a recurring invoice instead.
