Time Tracking

How to track and record time

Time

Time entries

Recording time keeps your hours tied to the work that produced them. Every entry logs against a project or task, so you always know where the time went and whether it can be billed.

When you’d use this

Log time for any work you bill by the hour, and for fixed-price work too if you want to know whether your prices are right. The first reason is obvious: hours you do not record are hours you never invoice. The second reason is the one that changes businesses: once time lands on projects, the reports show which clients and job types actually pay, and your next quote gets more accurate. Record entries the same day; reconstructing a week from memory is where billable hours disappear.

Record an entry

  1. Create a new time entry.
  2. Choose the project or task the time belongs to.
  3. Enter the hours you worked.
  4. Set the billable flag and a rate so the entry is ready to invoice.

Money on the table

Hours you’ve logged but haven’t billed yet surface on the dashboard as money on the table. It’s a running reminder of revenue waiting to be invoiced.

Tip: Mark an entry billable and set its rate as you log it. That way it’s ready the moment you build the invoice.

FAQ

Do I have to assign time to a project?

Time can be logged against a project or a task. Assigning it is what lets you bill it to the right client and see it in project reports, so it is worth doing every time.

Can a teammate log time?

Yes. Each teammate logs their own entries and the project report shows everyone’s hours together.

What does the billable flag do?

Billable entries count as money on the table and can be pulled onto an invoice. Non-billable time still appears in utilization so your reports stay honest.
