Cleaning is a repeat business: the same homes and offices, the same days, week after week. Fee-Lion is built for that rhythm — set the invoice once, let it send itself, and let your regulars pay automatically so you can spend your time on the work instead of chasing checks.
Put your regulars on a recurring schedule
Most of your accounts are predictable, so let the invoice be predictable too. A recurring invoice generates and sends on the cadence you choose, whether that’s every Friday for a weekly home or the 1st of the month for an office contract.
- In the left sidebar, open Invoices and choose New recurring invoice.
- Pick the client, then add your line items. Use a fee/unit line like “Weekly clean — 1 × $120” for flat-rate jobs, or a task line (hours × rate) for deep cleans you bill by time.
- Set the frequency (weekly, biweekly, monthly) and a start date.
- Confirm your payment terms and tax — both pull from Settings → Preferences so you don’t re-enter them every time.
- Save. From now on the invoice goes out on schedule, and you’ll see it land in Invoices each cycle.
Tip: Set your defaults once under Settings → Preferences (payment terms, tax, deposit) and every new recurring invoice inherits them. One change there updates how every future job is billed.
Turn on auto-pay so you stop chasing payment
A weekly cleaning bill is small enough that getting paid shouldn’t take any effort. With auto-pay, your client enters their card once in the portal and every recurring invoice charges automatically — money lands in your own Stripe account, minus a small platform fee, with no app in the middle holding your cash.
- Make sure you’ve connected your account so cards can be charged — see the Stripe step under What’s next.
- When you invite a regular to the portal, they can opt into auto-pay for their recurring invoices. No login, no account — just a magic link.
- Each cycle, the card is charged and the invoice flips to paid on its own. You’ll still see every charge in Payments.
For one-off deep cleans or move-out jobs, send a regular invoice instead — it carries a Pay button, and the client pays by card in the same portal.
Bring your crew on and track supplies
If you run a team, the Studio plan ($29/mo) gives you seats so your crew can log in and work alongside you. Invite cleaners from Settings, and use Projects to organize bigger jobs — a move-out clean or a new commercial account — with custom sub-statuses and checklists so nothing gets skipped on site.
Log supplies as expenses
Cleaning supplies, mileage between jobs, and equipment add up. Record them under Expenses and attribute each one to the project or account it belongs to. That way your reports show true margin per client — what a contract actually earns you after product and travel.
- Add supply costs as expenses and tag them so you can total them at tax time.
- Attribute job-specific costs to a project to see profit per account.
- Mark an expense billable when a client agreed to cover a special product, and rebill it on their next invoice.
Tip: Type ⌘K to open the command palette and run things like “create invoice for the Garcia house” or “pay INV-204” without clicking through the sidebar — handy when you’re between jobs on your phone.
Coming from spreadsheets or another billing tool? Bring your client list over from Settings → Data Import, set your recurring schedules, and you’ll have a route’s worth of invoicing running on autopilot in an afternoon.
