Invoicing as a real estate agent

Branding Invoices Real Estate

A branded real estate invoice with fee and unit line items in Fee-Lion

Real estate work is full of small, billable moments that slip through the cracks: a referral fee owed to another agent, the staging you fronted, the transaction coordinator’s hours on a tricky closing. Fee-Lion lets you turn each of those into a clean, branded invoice your client can pay by card in a couple of taps — and the money lands in your own Stripe account.

Build the invoice with the right line items

Most real estate billing is flat-fee or per-unit work, not hourly — and Fee-Lion handles all of it on one invoice. Head to Invoices in the left sidebar and create a new invoice, or start from an Estimate if you quoted the work first and converted it with one click.

  1. Add a fee line item for flat charges like a referral fee, a transaction-coordination package, or a flat marketing fee — just name it and set the amount.
  2. Add a unit line item (quantity × rate) for things you bill per item: staged rooms, professional photo sets, open-house signs, or printed flyers.
  3. Add a task line item (hours × rate) only when you’re billing genuine hourly work, like coordination time on a complicated escrow.
  4. Apply a discount or surcharge if you’re crediting a repeat client or adding a rush charge.
  5. Set tax and payment terms, then send.

If you bill the same coordination package on every deal, save yourself the retyping. Set your defaults once under Settings → Preferences so tax, payment terms, and deposit percentages are already filled in.

Tip: Quoting staging or a marketing package before the listing goes live? Send it as an estimate first. The client approves it in the portal, and you convert it to an invoice with a single click — no re-entering line items.

Brand the invoice and the portal

You’re already selling trust and presentation in this business, so your invoice should look the part. Under Settings → Preferences → Branding, upload your logo and set your colors. That branding carries through to the client portal, so when your seller opens the magic link, they see your name and logo — not a generic billing screen.

The portal needs no login. Your client clicks the link, reviews the invoice, and hits Pay to pay by card. It works just as cleanly on a phone, which matters when half your clients are reviewing things between showings.

Track staging and marketing as expenses

When you front the cost of staging furniture, professional photography, or print marketing, log it so you can rebill it and watch your real margin on each deal.

  • Go to Expenses and record the cost — attach the receipt and pick a category like Staging or Marketing.
  • Attribute the expense to a project (one per listing) so you can see exactly what a deal netted after costs.
  • Mark the expense billable and rebill it to the client as a line item on the invoice.

Running each listing as a project also gives you custom sub-statuses, checklists for closing tasks, and a place to keep client discussions — so the staging invoice and the coordination work all live in one tidy file.

Get paid into your own Stripe

Connect your Stripe account once and card payments flow straight to you, minus a small platform fee. No waiting on Fee-Lion to pay you out, no middleman holding your commission-adjacent income. If a client pays you by check or wire instead, record it as an offline payment so the invoice still shows as paid and your reports stay accurate. And when you need to fire off a quick one, the ⌘K command palette lets you type something like “create invoice for the Hendersons” without clicking through menus.
