Not every payment comes in online. When a client pays you by check, bank transfer, cash, or wire, you record it manually so the invoice reflects what you have actually been paid. Online payments through Stripe are recorded automatically — this is for everything else.
Record the payment
- Open the invoice and add a payment.
- Set the Channel to Offline — this marks it as a payment you are recording by hand.
- Choose a Method: Check, Bank transfer, Cash, Wire, or Other.
- Enter the amount and add a reference — a check number, transaction ID, or note.
- Save. The invoice balance updates right away.
Channel and method
Every payment carries two attributes that tell you where it came from:
- Channel — Online means it ran through Stripe; Offline means you recorded it by hand.
- Method — how the money moved. Online payments map to Card; offline payments use Check, Bank transfer, Cash, Wire, or Other.
Tip: Always add the reference or check number. It is the fastest way to match a recorded payment back to your bank statement later.
Partial payments
You can record a payment for less than the full amount. The invoice balance counts down with each payment until it is settled, so a deposit or installment is easy to track.
