Drill down your revenue

Drilldown reports

A single revenue total never tells you enough. The drilldown reports let you keep clicking until you reach the actual document a number came from.

When you’d use this

Use the drilldown when a total surprises you, when a client asks what they have paid this year, or when you are deciding which services to keep offering. Grouping by project next to attributed expenses is the single most useful view for pricing decisions: a service that bills well but costs nearly as much to deliver shows up immediately. At tax time, the year-to-month expansion gives your accountant the revenue breakdown without a spreadsheet.

Expand year to month to item

Start at the year, open a month, then drop into the individual items. Every level expands into the one below it, so you’re never stuck staring at a summary that won’t explain itself. Every number opens into the documents behind it.

Group revenue three ways

  • By client — who is actually paying the bills.
  • By project — which work earns its keep, especially paired with attributed expenses.
  • By tag — a custom cut across the rest.
  1. Open Reports and choose a revenue drilldown.
  2. Pick a grouping: client, project, or tag.
  3. Expand from year to month to item, then open the document behind any figure.

Tip: Group by project to read revenue next to the costs you’ve attributed — that’s where real margin shows up.

FAQ

Does revenue mean invoiced or paid?

The drilldown reports revenue from invoices, and the payment reports show what has actually been collected, so you can compare the two to spot what is outstanding.

Can I export a drilldown?

Yes. Any report exports to CSV for a spreadsheet or PDF for a finished document, at whatever level you have expanded it to.

Can I compare two periods?

Expand two years or two months side by side in the same report. For a formal comparison, export both and lay them out in a spreadsheet.
