Invoices Reporting

The invoice aging report

Worrying about late payments doesn’t collect them. The aging report turns that worry into a list you can work down.

When you’d use this

Make the aging report part of a fixed routine, weekly at least. Late invoices are rarely a sign of a bad client; they are usually a sign nobody asked. The report tells you exactly who to ask and how firmly: a friendly nudge for the 30 bucket, a phone call for 60, and a clear conversation about next steps for anything at 90+. Paired with automatic reminders, most invoices never reach the report at all, and the ones that do are the ones that genuinely need you.

The buckets

Outstanding invoices sort into four buckets by how overdue they are: current, 30, 60, and 90+. The further right an invoice sits, the longer it’s been waiting — and the harder it usually gets to collect.

Act, don’t just watch

Each bucket lists the actual invoices inside it, not just a total. That means you can open the report, find the specific invoices sitting in 60 or 90+, and follow up on those exact clients today.

  1. Open Reports and go to the aging report.
  2. Start at the 90+ bucket — the oldest money is the most at risk.
  3. Open the invoices inside and follow up with those clients.
  4. Work back through 60 and 30 before they age further.

Tip: Check aging on a fixed cadence. A weekly pass keeps invoices from quietly drifting into the 90+ bucket.

FAQ

Does Fee-Lion send reminders automatically?

Yes. Reminder emails go out around the due date and as an invoice becomes overdue, so the aging report is for the invoices that reminders alone did not clear.

Can I add a late fee from the report?

Open the invoice from its bucket and add a late fee as a surcharge line, then resend. Your terms should state the fee in advance.

Does a partial payment move an invoice to a newer bucket?

No. The bucket is based on the original due date. A partial payment reduces the balance but the invoice stays as overdue as it is.
