“Pending” vs “Succeeded” Payment States

Invoices Payments Stripe

When a client taps Pay on an invoice, you might see the payment sit at pending for a beat before it flips to succeeded and the invoice turns Paid. That short pause is normal — it’s the card actually clearing through Stripe — and once you know what each state means, you’ll never have to wonder whether the money is really coming.

What each state means

A card payment moves through a small, predictable set of states. Here’s how to read them on the invoice and on your Payments screen in the left sidebar:

  • Pending — Stripe has received the charge and is confirming it with the card network. This usually lasts only a moment. Think of it as “money in motion.” You don’t need to do anything; just let it settle.
  • Succeeded — The card cleared. The charge is confirmed, the payment is recorded against the invoice, and the funds are now on their way into your Stripe account (Fee-Lion pays into your own connected Stripe, minus the small platform fee).
  • Failed / declined — The card didn’t go through. The invoice stays unpaid and your client can simply try again with a different card.

The key thing to remember: succeeded is the green light. That’s the moment the payment is real and the invoice is settled.

Tip: “Succeeded” confirms the charge cleared — it does not mean the cash has landed in your bank yet. Stripe batches confirmed payments into a payout on its own schedule (often a couple of business days). Watching it appear in your bank is a separate timing question from the payment state.

How the invoice flips to Paid

You don’t have to babysit any of this — Fee-Lion listens for the result from Stripe and updates the invoice for you. The sequence looks like this:

  1. Your client opens the invoice from their magic-link portal — no login needed — and clicks Pay.
  2. They enter card details on the secure Stripe checkout. The payment briefly shows pending while it clears.
  3. Once Stripe returns succeeded, the invoice status automatically flips to Paid and the payment shows up under Payments.
  4. Your client sees a clean confirmation in the portal, and you’ll see the paid invoice next time you check your dashboard.

If you want to jump straight to a specific invoice to check its state, the ⌘K command palette is the fastest route — try typing something like “pay INV-204” to pull it up.

When pending lingers longer than expected

Most pending states resolve in seconds. If one seems stuck, here’s how to think about it before you reach out for help:

  • Give it a moment, then refresh. A brief delay between a successful charge and the invoice flipping to Paid is normal — Fee-Lion updates as soon as it hears back from Stripe.
  • Check whether the card was actually declined. A failed charge won’t sit at pending forever; it’ll show as failed, and your client can retry with another card.
  • Confirm your Stripe is connected. If you’ve never finished connecting Stripe, clients can’t pay by card at all — the Pay button relies on it.

And remember you’ve always got a manual fallback. If a client pays you outside the app — say a bank transfer or cash — you can mark that invoice paid yourself by recording an offline payment, so your books stay accurate no matter how the money arrives.
