Sent an invoice to the wrong client? Double-billed for the same work? Mistakes happen, and the good news is you can pull an invoice out of circulation cleanly. Voiding an invoice tells Fee-Lion (and your reports) that this bill is dead and shouldn’t be collected, so your numbers stay honest and your client never gets a nagging reminder for money they don’t owe.
Void vs. refund vs. delete
Picking the right action keeps your books trustworthy, so it’s worth a quick gut-check before you click anything.
- Void — the invoice was never paid and shouldn’t be. Voiding keeps a paper trail (the invoice number stays reserved) but removes it from what you’re owed. Use this for wrong amounts, duplicates, or bills sent to the wrong contact.
- Refund — the client already paid and you need to give the money back. That’s a different flow entirely, since real funds moved through Stripe.
- Delete — best reserved for a true draft that never left your hands and that you don’t need a record of.
Tip: If an invoice has even a partial payment on it, don’t void it — issue a refund for what was paid first, then void the remaining balance. Voiding alone won’t return your client’s money.
How to void an unpaid invoice
Voiding lives right on the invoice itself, and it takes about ten seconds.
- Open Invoices in the left sidebar and click the invoice you want to pull.
- Confirm its status. You can void anything that’s Sent, Viewed, or Overdue — anything unpaid. A fully Paid invoice needs a refund instead.
- Open the actions menu on the invoice and choose Void.
- Confirm. The invoice flips to Voided, its Pay button switches off, and it drops out of your outstanding totals.
Once voided, the invoice still appears in your list with a clear Voided badge, so you and your client both have a record of what happened. The invoice number stays locked to that bill — Fee-Lion never recycles it — which keeps your sequence clean for accountants and audits.
In a hurry? Use the command palette
If you already know the invoice number, you don’t need to hunt for it. Hit the ⌘K command palette, type something like void INV-204, and jump straight to that invoice’s actions. It’s the fastest way to kill a bad invoice before your client opens their email.
What voiding does to your reports
This is the part people worry about, and it’s the part Fee-Lion handles for you. A voided invoice is excluded from revenue and from money owed, so it won’t inflate your Ops Dashboard or quietly sit in your Invoice Aging report pretending to be collectible. Your Revenue drilldown only counts real, paid work — exactly as it should.
- It stops counting toward outstanding balances the moment you void it.
- It won’t trigger any further payment reminders to your client.
- It stays visible for the record, so nothing vanishes from your history.
Tip: Voided the wrong one or need to re-bill? Just create a fresh invoice for the correct amount. Pulling tracked time or line items into a new invoice is quick, and starting clean is far safer than trying to resurrect a voided bill.
That’s the whole trick: void early, void clearly, and let Fee-Lion keep your reports telling the truth.
