An invoice is rarely perfect on the first pass. Maybe a project grew, a client asked to drop a line, or you fat-fingered an hourly rate. Good news: as long as an invoice is still a draft, you can shape every line, quantity, and note until it reads exactly the way you want, and the totals recalculate the moment you do.
Open the invoice you want to edit
Editing lives right where you’d expect. Any invoice that hasn’t been finalized is yours to rework.
- Open Invoices from the left sidebar.
- Click the invoice you want to change to open it. (In a hurry? Pop the command palette with ⌘K and type the invoice number, like “INV-204.”)
- Hit Edit to drop into the line-item editor.
Tip: Editing is for invoices still in draft. Once an invoice is sent and a client is staring at the Pay button, the numbers are locked so the amount they agreed to can’t shift under them. If you need to change a sent invoice, void it and issue a fresh one rather than editing in place.
Add, change, and remove lines
Each invoice is built from line items, and Fee-Lion speaks two kinds. Pick whichever matches the work:
- Tasks bill as hours × rate — ideal for “12 hours of design at $95.”
- Fees / units bill as quantity × rate — perfect for flat deliverables, license seats, or anything you sell by the unit.
- Discounts and surcharges nudge the total down or up — a loyalty discount, a rush surcharge, whatever the deal calls for.
To work the lines:
- Click Add line item and choose a task, fee/unit, discount, or surcharge.
- Fill in the description, then the hours and rate (or quantity and rate). The line total and the invoice total update live as you type.
- To edit an existing line, click straight into any field and overwrite it.
- To remove a line, use the delete control at the end of its row.
Tax and deposit carry over
Your tax and deposit % apply on top of whatever the lines add up to, so they re-figure automatically every time you tweak a quantity. To change the defaults that seed new invoices, head to Settings → Preferences and adjust your tax and deposit settings there.
Reorder lines so the invoice reads well
Order matters — clients skim, and a tidy invoice gets paid faster. Group the big-ticket deliverables up top, tuck the small fees below, and drop discounts where they make the most sense.
- Grab a line item by its drag handle.
- Drag it up or down to its new spot.
- Release. The order saves with the rest of your edits — no separate “save order” step.
Add notes and save
Use the notes field to add context a client will appreciate: payment terms, a thank-you, or a quick line about what’s coming next. When everything looks right, click Save. Your draft holds the new lines, quantities, order, and notes — ready to send the moment you are.
